How do agencies take on more accounts with the same team?

Short answer: Start by measuring where your team's week goes, then take the biggest repeatable job off people's desks. Agencies grow capacity by standardizing the weekly close and automating matching and reporting. Their people stay on travelers and approvals. Measure again after each change, so you know the room you've made.

Most agencies hit the same wall: the accounts are there, and the team is full. Here is how growing agencies make room for the next account.

Why is capacity so tight?

The workforce is steady. BLS projects little change in travel agent jobs through 2035, and most openings replace people who leave. In GBTA's January 2026 poll, 26 percent of US TMCs planned to pause hiring.

Costs are pressing from both sides as well. In September 2026, 42 percent of TMCs and suppliers reported customer pressure to cut prices or fees, and 44 percent cited rising operating costs.

Where does the team's time go?

Into the work after the booking. Trips are what drive the workload, through exchanges, refunds, credits and reports. In 2026, agency trips grew 2 to 4 percent while sales grew 12 to 18 percent, so revenue per trip rose faster than the work.

Disruption adds to it quickly. During the late 2025 federal shutdown, nearly 80 percent of ASTA members spent extra hours each week resolving issues, much of it uncompensated.

The fastest way to see your own split is to time it. Sit with the team for a week and record how long each job takes.

What do growing agencies change first?

  1. The weekly close. One owner and one checker reconcile daily, so Tuesday holds a single day of work.
  2. The repeatable jobs. Matching and credit tracking follow the same steps every time, which makes them the first to automate. Client reports come next.
  3. The handoffs. Each job gets a clear owner, so requests move out of the shared inbox the same day.
The loop growing agencies repeat for each job.

Which jobs can automation take on today?

The ones with a clear right answer. Buyers agree: in GBTA's 2026 research, 92 percent were comfortable with AI building custom reports, and comfort was lowest for changes to bookings. That makes reporting and matching the least contested place to start, with your team approving every draft.

How do you measure the room you've made?

Against your own baseline. Time each job before a change and again after it, with the same people and the same week of the month. The hours that come back are the capacity for your next account.

Common questions

How do you scale a travel agency?

Measure where the week goes, standardize the jobs that repeat, and move the repeatable ones to automation. Keep your people on travelers and approvals.

How many accounts can one agent handle?

It varies with trip volume and complexity, so your own timed baseline is the best measure.

Should we hire or automate first?

Time the week first. The baseline shows which repeatable jobs to automate, so your team and every new hire spend more of the week with travelers.

Which jobs are easiest to automate?

The ones with a clear right answer and a weekly rhythm: the ARC report match, unused credit tracking, refunds checks and client reports.
