Short answer: A ticket issued through a GDS can be voided in IAR until 11:59 p.m. Eastern on the next business day. When that day is an ARC holiday, the window moves to the following business day. Tickets entered by hand in IAR void the same day. Election Day on November 3 pushes Monday's voids to Wednesday.
Next Tuesday is Election Day, and ARC treats it as a holiday. That shifts two clocks at once: the weekly report moves to Wednesday night, and the void window for Monday's tickets stretches by a day. Three more holidays follow before the year ends, so it pays to put the dates on the team calendar now.
How long is the normal void window?
It depends on where the ticket came from. ARC's rules set two windows:
- Issued through a GDS. Sales, refunds and exchanges can be voided or modified in IAR until 11:59 p.m. Eastern on the next business day.
- Entered by hand in IAR. Sales, refunds and exchanges can be voided on the day they were entered, up to 11:59 p.m. Eastern.
Once a window closes, the transaction stays in the report. Any change after that runs through a refund or an exchange, with the airline's rules attached.
What changes when ARC observes a holiday?
When the last day to void falls on an ARC holiday, ARC extends it to the next business day automatically. The report deadline moves too:
- A Monday holiday moves the report to Wednesday at 1:59 p.m. Eastern.
- A Tuesday holiday moves it to Wednesday at 11:59 p.m. Eastern.
The hand-entered rule stays the same in a holiday week. A transaction keyed into IAR still voids on its own day.
Which dates move for the rest of 2026?
Four holidays remain on ARC's 2026 schedule. For each one, the table shows the GDS tickets affected, the new last day to void them, and the report deadline.
| Holiday | GDS tickets issued | Last day to void | Report due (Eastern) |
|---|---|---|---|
| Election Day, Tuesday, November 3 | Monday, November 2 | Wednesday, November 4 | Wednesday, November 4, 11:59 p.m. (week ending November 1) |
| Veterans Day, Wednesday, November 11 | Tuesday, November 10 | Thursday, November 12 | Tuesday, November 17, 1:59 p.m. |
| Thanksgiving, November 26 and 27 | Wednesday, November 25, to Sunday, November 29 | Monday, November 30 | Tuesday, December 1, 1:59 p.m. |
| Christmas, Friday, December 25 | Thursday, December 24 | Monday, December 28 | Tuesday, December 29, 1:59 p.m. |
ARC says it may amend the schedule or the deadlines as needed, so check the holiday page at the start of each holiday week.
Why does Election Day week need extra care?
Because two deadlines land on the same Wednesday. Monday's GDS tickets can be voided until Wednesday, November 4, and the report for the week ending November 1 is due that same night at 11:59 p.m. Eastern.
The two belong to different weeks. Monday's tickets sit in the next report, for the week ending November 8. A team working through Wednesday can mix them up, so name one person to own each.
Election Day week at ARC
- Sunday, November 1The sales week closes
- Monday, November 2GDS tickets issued today get the longer void window
- Tuesday, November 3ARC observes Election Day
- Wednesday, November 4Last day to void Monday's tickets, and the report is due at 11:59 p.m. Eastern
How should a team plan a holiday week?
- Put the dates on the calendar now. Add each last day to void and each report deadline from the table above to the shared team calendar.
- Clear voids before the holiday. The extension helps, and a void done on the normal day keeps the holiday week light.
- Watch the hand-entered transactions. They keep the same-day rule, so check them before the day ends.
- Check the airline as well. ARC's window covers the report. Read each carrier's own void and exchange policy for the tickets you issue.
- Cover Thanksgiving with a rota. Five days of tickets share one void deadline on November 30, and the report is due the next afternoon.
- Reconcile daily. A daily match of IAR to your accounting system leaves one day's work for the deadline.
What records should you keep for a void?
Keep the voided document with the rest of the week's file. ARC's agreement lists voided traffic documents among the records an agency keeps for at least 39 months from the report's submission deadline. A clear void record also helps later, if an airline questions the ticket in a debit memo.
